The problem

A PDF is a photo of your catalog.

Your PDF was exported from the designer’s layout file ahead of the season. The price list at the back is already the old one, the new colorways are missing, and the download weighs more than hall wifi wants to carry. So you attach it anyway, or paste a cloud-folder link, and hope.

What happens to the PDF, step by step.

Poly9 AI reads photographs, not the PDF’s typeset layout. So the opening job is extracting the imagery: the originals from your photographer or agency, or the images exported from the PDF, grouped one product per set. Rather hand the file over? We load it with you during onboarding.

Each photo set becomes a draft product: name, category and subcategory from your own category tree, a buyer-facing description, main and secondary material, finish, style, colour, and dimensions with a stated confidence. Drafts wait in a review queue. You approve, edit or reject each one, and nothing publishes without your approval. Prefer no AI at all? A spreadsheet with a photo folder imports with strict checks and no credits.

Pricing comes from rules, not from the PDF’s price list. Write a cost recipe (materials, labour, overhead) or load a grade matrix and the storefront quotes a certified price for every configuration. Until then a product shows price on request and a form that sends you the buyer’s chosen options. Can Poly9 AI read my PDF directly?
Poly9 AI builds products from photos, several per product, and drafts the name, category, description, materials, finish and dimensions from them. Export the images from your PDF or use the originals from your photographer. If you would rather hand over the file, we load it with you during onboarding, and a spreadsheet with a photo folder imports with no AI at all.
What does the AI get wrong?
Dimensions, when a photo gives no scale. Each draft states its confidence and the basis it scaled against, and you correct the number in review before anything publishes. Names and categories are matched to your own category tree and material library, so the fix is usually a pick from a list.
Where do the prices come from?
From rules you approve, never from the PDF’s price list and never from an AI guess. A cost recipe prices a configuration from materials, labour and overhead; a grade matrix prices a frame by fabric grade. A product without a rule shows price on request, with a form that sends you the buyer’s chosen options.
What does the buyer see?

What happens when I change a price?
Edit the rule or the product once and the live link shows the change. Buyers who saved an item in a collection see the current price on their next visit. There is no file to re-export, no version to chase and no old PDF still in circulation.
Can I keep sending a PDF as well?
Yes. Plenty of buyers still ask for a file, and the storefront does not replace it on day one. Print the storefront link on the cover of the PDF, so the reader who wants options, current prices or a saved collection has one tap to get there.
