POLY9 FOR EXPORTERS

Quote every buyer before competitors wake

Your Digital Booth is an online showroom and trade storefront for your range. Buyers see your price and lead time while you sleep. Your FOB price, MOQ and port go into the quote you send before their day starts.

Where export enquiries get lost

Most exporters lose buyers in the gap between the first message and the first price.

Time zones work against you

A buyer in Chicago writes at 4 pm. In Moradabad or Ho Chi Minh City it is the middle of the night. By the time you reply, they have asked three other suppliers.

PDF catalogs go stale

Prices change with raw material and freight. The PDF you sent in March still shows old rates, so every reply starts with a correction.

Every reply is retyped

Your team copies FOB prices, carton sizes and MOQs from spreadsheets into WhatsApp and email, one buyer at a time. Mistakes creep in on busy days.

How a Digital Booth handles an enquiry

01

Load your range

Upload phone photos and your Excel price sheet. Poly9 writes the product pages and you check each one.

02

Share one link

Your booth lives at yourcompany.poly9.ai. Put it in your email signature, WhatsApp status and fair QR code.

03

Buyers ask, the booth answers

The assistant answers in English from your prices, lead times and product details. Anything without a price goes to your inbox as price on request.

04

You approve the quote

Every enquiry lands with an AI reply draft, and one click turns it into a priced quote or proforma. You check it and send.

What exporters get

FOB quote software that reads your sheet

Set the price for each item. One click turns an enquiry into a quote with your FOB price, port and price breaks. It shows total CBM and container fill too.

An export catalog that stays current

Change a price once and every buyer link shows the new figure. No new PDF, no resend.

Buyer enquiry management

Every enquiry, buyer and order sits in one login, so your team sees who asked what and when.

Collections per buyer

Pick products for one importer, show or hide prices and MOQs, and send a single link or a line-sheet PDF.

One enquiry, start to finish

EXAMPLE DATA

Saffron Row Exports, Jaipur: a block-print cushion range

A buyer in Rotterdam opens the booth at 11 pm India time and asks for 600 cushion covers in two colourways, FOB Mundra. The assistant replies with the website price of $3.40 per piece and a 45-day lead time. It takes the buyer’s email and sends the enquiry on.

The enquiry lands in the Saffron Row inbox with an AI reply draft. At 9 am the export manager turns it into a proforma in one click. It carries the FOB Mundra price, the MOQ of 300 per colourway and the container fill. She sends it. The buyer has a price before their working day begins.

Questions exporters ask

Will the booth ever quote a price I did not set?
No. The assistant answers from the prices, lead times and product details you enter. When an item has no price, the booth shows price on request and sends the enquiry to your inbox, so you decide what to quote.
Can I quote FOB, CIF or ex-works?
Yes. Each quote you send carries the Incoterm, port and validity date you choose. It also shows price breaks, total CBM and container fill. Your booth shows only the website price you set.
Do buyers need an account to see my booth?
Buyers can browse your Digital Booth from a link or QR code without signing in. When they send an enquiry, they leave their email so you can follow up.
How long does setup take?
Start with five products and a private preview. Most of the time goes into checking prices and lead times, which you already know. Add the rest of your range from photos or a spreadsheet when you are ready.
What does the Digital Booth show a buyer?
Your range with photos, sizes, options and the website price you set, in your website currency, with price on request where you prefer. Each product has an enquiry button and a WhatsApp link. The buyer asks the assistant about materials, finishes, sizes and lead time, and any request for a change you have not priced comes to your inbox for you to answer.
How do I follow up after a trade fair?
Scan the business cards you collected, and Poly9 turns them into buyer records. Send each buyer a collection of the pieces they liked, with prices and MOQs shown or hidden, or an email campaign with your new range. When a buyer replies or sends an enquiry, it lands in the same inbox with an AI reply drafted, and one click turns it into a quote with your Incoterm and port.
We already use WhatsApp with buyers. Why change?
Keep using WhatsApp. Send your booth link inside the chat so the buyer sees photos, prices and lead times in one place, and the enquiry is saved in your inbox instead of a phone.
